What information Cadarn collects

This can include your name, email address, phone number, delivery address, order details, personalisation wording, photographs, logos and other artwork you upload for personalised products, artwork/proof correspondence, enquiry messages, delivery information and technical information needed to operate and secure the website.

Personalised artwork uploads

When you choose a photograph for a personalised preview, the image is securely sent through Cadarn’s website to Cadarn’s server-side proof engine so the main subject can be isolated, composed for slate and converted into an engraving-truth preview and workshop burn map. The current proof engine processes the uploaded image for that request and does not intentionally write the customer photograph to persistent storage. The proof engine does not redraw faces, fur, clothing or markings. Your browser keeps the source image and generated proof data locally so they can travel with your basket and order request. If you submit the order, the customer source image, engraving-truth preview and workshop bitmap are sent to Cadarn with the order request so the final artwork can be checked before engraving. The uploaded image is not sent to Royal Mail.

Why the information is used

Cadarn uses customer information to respond to enquiries, prepare quotes and proofs, process order requests, fulfil accepted orders, arrange delivery, provide customer service, prevent abuse of the website and meet legal or accounting obligations.

Lawful bases

Depending on the activity, Cadarn relies on steps taken at your request before entering a contract, performance of a contract, legal obligations and legitimate interests such as operating the business securely and providing customer support. If optional marketing is introduced later, it will use an appropriate lawful basis and any consent required by law.

Who information is shared with

Only where needed for the service, information may be processed by service providers including Cloudflare for website hosting/security and request proxying, Render for Cadarn’s server-side personalised proof engine, Resend for transactional email delivery, and Royal Mail Click & Drop for delivery fulfilment. Stripe processes card payment information on Cadarn’s behalf using its hosted Checkout. Cadarn receives payment status, transaction references and limited customer/order metadata needed to reconcile the order, but does not receive or store customers’ full card details.

How long information is kept

Cadarn keeps information only for as long as needed for the purpose it was collected for, including customer-service, order, legal, tax and accounting requirements. Retention periods will be reviewed as the business systems are finalised.

International processing

Some technology providers may process information outside the UK. Where this happens, Cadarn will use providers and safeguards intended to meet applicable UK data-protection requirements.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict use of your personal information, to object to certain processing, and to receive certain information in a portable form. Where processing is based on consent, consent can be withdrawn.

Complaints

Please contact Cadarn first at cadarnslatecraft@outlook.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) about the handling of your personal data.

Changes

This notice is reviewed whenever Cadarn materially changes its payment, fulfilment or personal-information workflow.
